How to Use
- Enter your "cumulative years of service" (two fields: years and months, e.g. 5 years 0 months).
- Optionally enter "company extra leave days" — leave granted beyond the statutory minimum.
- Enter "leave days already used" this year (supports half-day precision like 0.5).
- Optionally enter "overtime comp hours" — accumulated overtime hours to be converted into time off.
- "Daily work hours" defaults to 8 and can be adjusted to match your company's actual schedule; it's used to convert overtime hours into comp days.
- Click "Calculate", or click "Load Sample" to try it instantly (sample: 5 years tenure, 3 extra days, 2 days used, 16 overtime hours).
- Results show statutory leave, company extra leave, total annual leave, remaining annual leave, comp days convertible from overtime, and a combined "total available days" figure.
Features
- Calculates statutory annual leave strictly per China's Regulation on Paid Annual Leave for Employees: 5 days for 1-10 years of service, 10 days for 10-20 years, 15 days for 20+ years, 0 days for under 1 year.
- Accepts tenure as years + months, converts it to a decimal for tier lookup, and formats it back as readable text (e.g. "5 years 3 months").
- Adds company-provided extra leave on top of the statutory amount to produce "total annual leave".
- Subtracts leave already used (half-day precision supported) to get "remaining annual leave", floored at 0 so it never goes negative.
- Converts overtime comp hours into whole comp days based on daily work hours (default 8, customizable), showing any leftover hours under a full day separately.
- "Total available days" = remaining annual leave + comp days converted from overtime, giving one combined figure.
Use Cases
Employee self-check before requesting leave
Before submitting a leave request, an employee quickly checks their statutory and company-extra leave entitlement by tenure, and how many days remain after subtracting what's already been used.
HR verifying leave balances
HR uses a consistent formula to verify an employee's leave entitlement matches their tenure when approving leave requests or settling final pay upon departure, avoiding manual calculation errors.
Converting overtime into time off
Employees or HR convert accumulated overtime hours into whole comp days based on daily working hours, with any partial-day remainder clearly shown, to help plan time off.
Year-end leave planning
Before year-end leave expiration, an employee combines remaining annual leave and converted comp days to plan out how many total days need to be used before they're forfeited.
FAQ
What's the basis for the statutory leave calculation?
It strictly follows Article 3 of China's Regulation on Paid Annual Leave for Employees: 5 days for 1-10 years of cumulative service, 10 days for 10-20 years, 15 days for 20+ years, and 0 days for under 1 year.
Does "cumulative years of service" mean tenure at this company or lifetime working years?
The regulation generally refers to an employee's total cumulative working years across all employers, not just the current company. This tool relies on whatever figure you enter; confirm the exact definition against your company's HR policy and local regulations.
How are overtime hours converted into comp days?
The tool divides overtime hours by daily work hours and takes the integer part as comp days, with the remainder shown separately as leftover hours — e.g. 16 hours at 8 hours/day converts to exactly 2 days.
Can remaining annual leave go negative?
No. If days used exceed total annual leave, remaining leave is floored at 0 and will never display as negative.
Are company extra leave and overtime hours required fields?
No, both are optional. Leaving them blank or at 0 does not affect the statutory leave calculation.
